Meeting Minutes

What it is

The club secretary's tool for monthly committee meetings. Agenda items collect during the month (typed in, or emailed to hello@croquetqld.org), the module prints a proper agenda with a vote-script cheat sheet, records the meeting, and returns AI-drafted minutes with a confirm checklist.

Who it serves

Club secretaries first, then the whole committee that relies on their records. A pilot club is still to be chosen.

How it works

Takes away the two worst secretary chores: assembling an agenda from scattered emails, and writing up minutes afterwards. The vote scripts help an inexperienced chair run motions correctly, and the checklist catches gaps such as a motion missing its mover, rather than letting them slip through.

  1. Add agenda items during the month, or email them in.
  2. Print the agenda before the meeting.
  3. Hit record in the browser, or upload a phone recording afterwards.
  4. Review the drafted minutes against the checklist, approve, print.

How it hits the ideals and aims

Keep it simple: do less admin and play more croquet is the whole point of this module. Cooperate for croquet: good records keep committees on the same page. Aims: 1 Strengthen Admin, 4 Support Clubs.

The benefit for croquet

Incorporated clubs get compliant, timely meeting records without burning out their secretary, and the role itself becomes one more people are willing to take on.

Results so far

Not yet used by a real club. The full pipeline was proven end to end on staging on 5 July 2026 (create, agenda, upload, drafted minutes, approve, print, 15 of 15 checks green), and the processing service is running.

Status: built, on trial (staging). Awaiting a pilot club and Wade's go. As at 2026-07-11.
